The Opportunity

We're seeking a dynamic Executive Assistant / Development Associate to join our leadership team in a role that's part strategic partner, part innovation catalyst, and part organizational backbone. This isn't your typical administrative position—you'll be the Chief Academic Officer's (CAO) right hand while building our development department from the ground up.

Working directly with our CAO, you'll be at the heart of everything that drives our mission forward. From anticipating leadership needs and managing high-stakes communications to identifying new funding opportunities and streamlining technology operations, you'll have your fingerprints on every aspect of our organizational growth. If you have aspirations to grow into a Chief of Staff, this role is for you.

What You'll Be Doing

Strategic Partnership & Executive Support

  • Serve as the CEO's trusted advisor and primary liaison, keeping them informed and prepared for every opportunity
  • Act as the organizational "pulse-taker," staying connected to school community dynamics and emerging issues
  • Manage high-level communications with internal teams, board members, and external partners
  • Coordinate executive meetings, retreats, and strategic planning sessions

Development & Relationship Building

  • Identify and cultivate relationships with key funders and potential funding pipelines
  • Create and manage grant application calendars and deadlines
  • Collaborate with staff, Board, and The Friends of Foundation on targeted grant submissions
  • Build lasting external relationships that fuel organizational growth

Operations & Innovation

  • Develop and refine office policies and procedures that scale with our growth
  • Manage vendor relationships and procurement for equipment, services, and supplies
  • Oversee information systems, including hardware, software, and internal communications
  • Lead contract negotiations and management with key stakeholders
  • Coordinate staff onboarding and organizational events

Communications & Design

  • Create professional materials using advanced design platforms
  • Prepare and distribute official communications to community and personnel
  • Design visually engaging presentations and organizational materials

You'll Be Successful If You

  • Thrive in dynamic, fast-growth environments where no two days are the same and adaptability is key
  • Bring fresh perspective and strong command of new technology tools that can modernize our operations
  • Are fluent in modern technology and platforms, including social media (Instagram, TikTok, LinkedIn, etc.) to help amplify our organizational presence
  • Excel with professional presentation tools (Google Slides, Canva, Prezi, PowerPoint, etc.) and have a natural knack for visually engaging communication
  • Are highly proficient in Excel and data management for organizing, analyzing, and presenting complex information
  • Stay comfortable learning and introducing emerging digital tools that streamline operations and support innovation
  • Are eager to bridge traditional systems with next-generation practices that keep us ahead of the curve
  • Possess exceptional organizational skills with impeccable attention to detail

  • Can maintain the highest level of integrity and discretion with confidential information
  • Demonstrate outstanding communication skills with diverse groups—from board members to community partners
  • Can pivot quickly and make informed decisions about priorities and time management
  • Approach your work through a Diversity, Equity, and Inclusion lens
